How We Style Your Rented Venue

Every venue has its own bones — a ballroom, a barn, a garden, a banquet hall — and our venue décor and styling approach starts with understanding that space. We handle draping and lighting design, floral and greenery installations, custom backdrops, table and chair styling, stage and dance floor décor, and full room layout planning, all built around your venue's existing architecture and your event's vision.

Venues We Work With

We regularly design events at banquet halls, hotel ballrooms, private estates, gardens, community centers, and outdoor venues throughout Washington DC, Northern Virginia, and Maryland. Whether your venue is a blank white-walled ballroom or a garden with natural charm already built in, we design a décor plan that fits both the space and your celebration, and we're happy to visit or review the venue beforehand so nothing about the space surprises us on installation day.

Full-Service Setup & Breakdown

Because we work inside venues you've already booked rather than a space of our own, our venue décor and styling service includes full delivery, setup before your event, and breakdown afterward, so neither you nor your venue staff have to manage any of it.

What's Included in a Venue Décor Package

A venue décor package typically includes a walkthrough of your booked space (in person or via floor plan and photos), a design plan built around the venue's layout and existing features, sourcing and installation of florals, drapery, lighting, and backdrops, and full breakdown once your event ends. We coordinate directly with venue coordinators and staff wherever needed, so timing and access are handled without any extra work on your end.

Because every venue has its own load-in rules, elevator or loading dock access, and setup windows, we confirm those logistics ahead of time as part of the design plan — so our installation team arrives already knowing exactly how the space works, rather than figuring it out on the day of your event.

Working With Your Venue's Existing Features

Every venue comes with its own built-in advantages and limitations — a garden venue might already have natural greenery we can build around, while a hotel ballroom might need full drapery to soften the space. Some venues restrict certain installation methods (open flame, ceiling rigging, adhesive on walls), and part of our venue décor process is confirming those requirements ahead of time so nothing about your design plan runs into a last-minute conflict with the venue's own policies.

Venue Décor Timeline

For most weddings and quinceañeras, we recommend finalizing your venue décor and styling plan at least two to three months ahead of the event, with a site visit or detailed venue walkthrough scheduled once the layout is confirmed. For smaller celebrations — bridal showers, birthdays, baby showers — four to six weeks is typically enough lead time, though we do accommodate faster timelines when a venue is booked closer to the event date.

Indoor vs. Outdoor Venue Styling

Indoor venues — ballrooms, banquet halls, and reception centers — usually give us the most control over lighting and drapery, since walls, ceiling height, and existing fixtures are fixed and predictable. Outdoor venues — gardens, estates, and open-air spaces — bring natural beauty we can build around, but also weather considerations, ground surface for staging, and sometimes a backup plan for rain. We scope venue décor differently depending on which category your space falls into, and for outdoor venues we always discuss a contingency plan as part of the design consultation.

For venues with both an indoor and outdoor component — a garden ceremony followed by an indoor reception, for example — we design the two spaces to feel connected, carrying the same color palette and key design elements from one setting into the next so the transition doesn't feel like two separate events.
